Your Year-End Office Cleanup Checklist

Hard to believe that we are ready to close 2016 at the end of this week. With many employees and clients on vacation, this is the perfect time to “get rid of old paperwork and make room for the new practices” as you start your cleanup efforts.

Below is a year-end office clean-up checklist of where to start and what you will need to have the most productive you starting on January 2, 2017.

Start with Your Desk

First, take the time to go through every drawer and file folder in and around your desk. Put each piece of paper into one of four categories:

  1. Keep
  2. Scan
  3. Shred or
  4. Recycle.

Next, take inventory. How old is your computer, printer. and copier? What about supplies – do you have enough printer cartridges, toner and paper? Check on your business cards. If you are running low on any of these items, now is the time order new ones.

Not sure what type of computer, printer or copier you need? Rent technology for a day, week or month in order to try the different units out and narrow down your selection.

Third, if you are keeping your equipment, be sure to update your software and applications. Check to see if you have a current version of your anti-virus/malware software. If you have a lot of computers that require updating, consider a desktop streaming solution. Take any documents you no longer need and either delete them or move them to the cloud.

Fourth, now that the paper is cleared away, it is time to clean your workspace. Use disinfectant sheets (Clorox, Lysol), air in a can for your keyboard and a screen cleaner for your monitor. Be sure to get the vacuum cleaner out and use it when all the paper is shredded and recycled.

Last, make it a resolution to rent a scanner and shredder once a month to keep all the clutter at bay for the entire year.

Move to the File Cabinets

You will need to do the same thing with the cabinets in your workspace. What really needs to be kept and why? Scan most, if not all, of your paperwork into a cloud computing rental solution and then shred the paperwork. Once empty, give old file cabinets to non-profit agencies or sell them.
