Tips to Improve Productivity Using Computers

Your workplace is filled with technology, but the question remains, “Is it being used in the most efficient manner?” While two weeks ago I wrote about decluttering your office, today I am offering tips on how employees can use their computers to improve their productivity to ensure that they can find what they need when they need it, whether it is just before a big meeting or while an important client is on the phone.

4 Key Productivity Tips Using a Computer

  1. Put Work in Office folders. Rather than leaving items in the general Documents, Pictures or Desktop categories, create folders for different areas that affect your work. For example, if you are in sales, you will want to have a folder for each client, prospect and your company products. If you are in finance, you will need a folder for A/P, A/R and taxes.

    You get the drift. In addition, be sure to train new and existing individuals about the standardized ways to “file” their work.

  2. Move Everything to the Cloud. While you are organizing items to folders, be sure to sync all items on your desktop to the cloud. Hopefully your organization has selected a cloud provider, but if they have not, initiate a conversation with your boss on the benefits of the cloud and move on it. In the meantime, Google Drive, OneDrive and iCloud are free options for limited storage requirements.

    Not only does the cloud offer backup and security, but you and those authorized can access your documents from any device as long as there is Wi-Fi availability.

  3. Go Wireless and/or Organize your Cords.
    If your office is full of cords, now is the time to change things around, especially if the workspace is small. Go wireless with your mouse, keyboard and printer. While you will need power cords and your phone/tablet charger on the desk, label all cords and bundle them with a cord strap to keep out clutter.
  4. Protect Your Computers.
    With cyberattacks happening all around us, it is important to have a cybersecurity policy and constantly enforce and monitor activity on the network. You can protect yourself and members of your organization by doing the following:

    1. Make sure every device has a firewall and it is turned on
    2. Install and update antivirus software. Update your operating system and other apps.
      Antivirus software is important to quarantine and deflects harmful software from entering your computer. It is also important to keep up-to-date with your operating system and software.
    3. Establish a policy on downloads.
      Often malicious software comes through innocent sounding emails where the party asks you to download attachments or click on links. Instruct employees to only click on downloads from individuals they know.
    4. Make sure there is insurance on each device in case of accidental damage, loss or theft.
